We are seeking a dedicated individual to fill the role of Assistant to the GGM and the Board at Nova Ukraine, a leading US-based non-profit organization supporting Ukraine.

The selected candidate will be responsible for providing administrative support to the Global General Manager and collaborating with Board members. This role involves working closely with team leads in both the US and Ukraine.


Key Responsibilities:

Administrative Support:

  • Handle day-to-day meeting requests, including evaluating priorities, importance, and urgency.
  • Manage external phone calls, maintain calendars, and handle selected correspondence with customers and partners.
  • Coordinate external meetings requiring engagement from other team members, sharing agendas beforehand for adequate preparation.
  • Create follow-up notes after meetings and ensure timely execution of action items by all participants.
  • Assist in planning and coordinating trips for the GGM or Board members, including hotel and flight bookings.

Communications:

  • Maintain an updated pitch deck for use by the Board and Team leads.
  • Centralize information such as organizational charts, marketing materials, presentations, and events calendar.
  • Communicate with individuals interested in volunteering for Nova Ukraine after events or external activities.

Events and External Meetings:

  • Provide assistance in organizing external events, coordinating communication among stakeholders.
  • Schedule All Hands meetings and Leads Huddle, ensuring speaker availability and attendance.
  • Consolidate slide decks for meetings and save meeting notes in Google Docs.

Skills:

  • Higher education
  • 2+ years of experience in administrative assistance/secretarial roles
  • Strong communication and presentation skills
  • Mandatory fluency in English (both written and oral)
  • Proficiency in MS365 products and Google apps
  • Ability to create presentations in PowerPoint from provided information and resources
  • Attention to detail and analytical thinking
  • Proactive approach to responsibilities

Requirements:

  • Ukrainian residing in the USA, Canada, UK, or another country, willing to work in the EST time zone.
