Position: Operations Assistant
Location: Bucharest, Romania
Type: Part-time
Key responsibilities:
- Administrative support: Manage files, organize electronic/physical archives, and keep the document database up to date;
- Documentation and reporting: Draft reports and ensure all records are accurate and accessible for the team and partners;
- Office administration: Maintain office organization, order supplies, and coordinate with vendors;
- Invoice processing: Managing invoices/expense reports/other financial documents issued to the organization, obtaining administrative documents, preparing payments, ensuring their accuracy and compliance with internal policies and ongoing project regulations;
- HR support: Serve as the point of contact between employees and the external HR/payroll provider. Ensure accurate and timely flow of HR-related documents and information for the team. Collecting monthly timesheets and leave requests from the team in order to maintain attendance records;
- Procurement and logistics: Manage procurement processes and maintain effective collaboration with suppliers.
Skills and qualifications:
- 1-3 years of experience in administrative, office management, or back-office roles;
- Fluency in Romanian and English (mandatory);
- Proficiency in Excel and other productivity tools;
- A strong communicator with sense of responsibility, attention to detail, accuracy, and a professional approach to work;
- Positive and proactive mindset;
- Enthusiastic about continuous learning;
- Shows initiative and takes ownership of tasks;
- Comfortable working both independently and as part of a team;
- Familiarity with nonprofit operations or vocational training/economic development is a plus.
